Wesclin Community Unit School District 3 Board of Education met March 18.

Here are the minutes provided by the board:

I. Regular Meeting

A. Roll Call

The Board of Education of Wesclin Community School District # 3, Clinton and St. Clair Counties, Illinois, met in a regular session on Monday, the 18th day of March 2024, at the hour of 6:00 p.m., at the Wesclin High School in said district.

At the above-named time and place there were present the following officers and members of the Board:

A quorum of the Board members being present, the current president called the meeting to order and declared the Board to be in session for the transaction of business.

B. Approval of Minutes

Minutes of the previous regular meeting and of the executive session of February 20, 2024 were approved on a motion by _Tina Litteken_, seconded by _Zach Peters_.

Vote: Dustin Biggs-aye, Connie Elmore-aye, Tina Litteken-aye, Zach Peters-aye, Jared Poettker-aye, Jeff Stroot-aye, Krystal Schmitt-aye. Motion passes 7-0

C. District Finances

Motion made by _Tina Litteken_, seconded by _Zach Peters_ to approve The Treasurer's Report and payment of payroll in the amount of _$1,010,613.81_ and bills in the amount of _$739,544.46_.

Vote: Dustin Biggs-aye, Connie Elmore-aye, Tina Litteken-aye, Zach Peters-aye, Jared Poettker-aye, Jeff Stroot-aye, Krystal Schmitt-aye. Motion passes 7-0

D. Agenda modification

Motion made by _Connie Elmore_, seconded by _Jared Poettker_ to approve agenda as presented.

E. Superintendent Report

Last Day of School- Wesclin School District’s last day of school is Friday, May 21, 2024. The final calendar will be approved next month.

Girls’ Basketball Program- Lebanon Cooperative Agreement- Mrs. Filyaw provided a final breakdown of the cost for the Girls’ Basketball Program and the reimbursement request that was submitted to Lebanon School District.

Trenton Elementary Secure Entrance- Mrs. Filyaw went over the finalized plans for the Trenton Elementary Secure Entrance, and she also met with the faculty of Trenton Elementary on Friday during the Teacher Institute to share the plans and gather input.

Technology in Schools: Mrs. Filyaw went over an article regarding keeping students safe with technology- by sharing an article.

Student Safety- The Anonymous Alerts app is in affect and Mrs. Filyaw went over the number of alerts that have been received, and which grade they are in, at the meeting.

School Cameras- There is a company that Mrs. Filyaw is waiting for them to update their bid.

F. Principals’ Report

Mr. Huels wants to thank the Wesclin Middle School Support Committee on their successful auction that was held, and $6,000 was raised! He also stated that courtesy week was a success and wants to thank Ms. Marchal. He finished by saying the athletics are successful as Volleyball is going to state this weekend, and the boys bowling team placed 3rd and the girls placed 7th at regionals! Great job!

Mr. Weathers shouted out Emily Argo and the Title 1 team for their organization of Family Game Night! It was the highest grossing Family Game Night to date, along with the sales at the Book Fair, and will get back scholastic dollars for and will use that money for books in the book vending machine. Shout out to Mrs. Billhartz and Mrs. Argo for attending the Illinois Reading Conference in Springfield- they brought back many tools that can be utilized! Mr. Weathers finished by stating the China King & Good ‘Ol Days Fundraisers were successful, and thank you to everyone who helped support New Baden Elementary- and the Ahners Fern fundraiser has began!

Mr. Rahm stated he wants to shout-out StuCo and Mrs. Kunz for a successful NCAA March Madness Bracket Challenge! He also stated that BINGO: the winning musical will begin on March 21st through March 23rd at 7:00 pm. Tickets are $10.00. Mr. Rahm finished by stating Spring Sports have began and sends good luck to all Athletes, and Prom will be held April 6 at Four Points Sheraton, in Fairview Heights.

Mrs. Woll shared that the DARE Fish Fry that was held at St. Mary’s on March 15th, was very successful and brought in over $6,000 on Friday! She added that she wants to send a special shout-out to Trenton Elementary staff who stepped in and helped this event be successful.

III. Celebration of Success

A. Congratulations to the 8th Grade Girls’ Basketball Team on their State Championship.

B. Thanks to Sodexo Management and employees for hosting a fabulous Future Chefs Event! The winner was Brie Deters, 4th Grade. Brie’s recipe, Brie’s Berrylicious Bowl, will be entered into the Sodexo National Competition.

C. Congratulations to Mr. Davis, Mrs. Page, and the members of the WHS Band, Jazz Band, and Chorus for a wonderful Pops Concert on March 5th. Great job by all!

D. Great job to Mrs. Haag and the enter Trenton Elementary faculty and staff on a positive email received!

E. Congratulations to the following students that were honored by the Illinois Principal Association for their stellar character and academic excellence:

i. Trenton Elementary- Zayda Kempinski

ii. New Baden Elementary- Sophie Wyms

iii. Middle School- Gwen Murphy

iv. High School- Carter Kuhl

IV. Items Requiring Board of Education Action

A. Adopt 2024-2025 School Calendar

There are no changes to the calendar from last month’s meeting.

Motion by _Jared Poettker_, seconded by _Tina Litteken_ to approve the 2024-2025 School Calendar.

Vote: Dustin Biggs-aye, Connie Elmore-aye, Tina Litteken-aye, Zach Peters-aye, Jared Poettker-aye, Jeff Stroot-aye, Krystal Schmitt-aye. Motion passes 7-0

B. IHSA Heat Guidelines and Perry Weather

Beginning this school year, IHSA required schools to use a Wet Bulb Globe Temperature rather than the feels like temperature that can be easily determined on a weather app/website. Throughout this school year, we used hand calculations and/or a wet bulb globe temperature reader but it has been ineffective and inconsistent. Mrs. Filyaw is recommending installing Perry Weather on the press box.

The cost is $2,500.00 per year. This will allow our coaches, athletic trainer, athletic directors, and administration to log on to a website/app and monitor our Wet Bulb Globe Temperature and make decisions about proceeding with an activity or event. In addition to the Wet Bulb Globe Temperature, it will also alert you the distance and storms and/or lightning that is away. Mrs. Brede has worked with Trenton and New Baden and they will be installing Perry Weather at the parks as well so we can manage activities that are occuring there as well, and this also decreases our cost.

Motion by _Zach Peters_, seconded by _Tina Litteken_ to approve the purchase of Perry Weather.

C. Trenton TIF

Mrs. Filyaw discussed this at the meeting and has attached the previous Intergovernmental Agreement as well as the Letter of Intent from Trenton.

Motion by _Jared Poettker_, seconded by _Dustin Biggs_ to counter with City of Trenton TIF.

Vote: Dustin Biggs-aye, Connie Elmore-aye, Tina Litteken-aye, Zach Peters-aye, Jared Poettker-aye, Jeff Stroot-aye, Krystal Schmitt-no. Motion passes 6-1

D. Destruction of Verbatim Recordings

By the board policy, verbatim recordings must be maintained for 18 months, or if there is a pending lawsuit. The district does not currently have any pending lawsuits and our practice is to destroy them yearly. Mrs. Filyaw is recommending that we destroy recordings from September 2021- August 2022.

Motion by _Dustin Biggs_, seconded by _Jared Poettker_ to approve the destruction of verbatim recordings from September 2021- August 2022.

E. IHSA Membership

This is an annual approval.

Motion by _Tina Litteken_, seconded by _Connie Elmore_ to approve the renewal of our IHSA membership.

Vote: Dustin Biggs-aye, Connie Elmore-aye, Tina Litteken-aye, Zach Peters-aye, Jared Poettker-aye, Jeff Stroot-aye, Krystal Schmitt-aye. Motion passes 7-0

F. Consent Agenda

a. Hire:

i. Sean Kellerman- We are recommending Mr. Kellerman as an assistant High School Girls’ Soccer Coach.

ii. Caitlyn Grayling- We are recommending Ms. Grayling as a paraprofessional in the district.

b. Resignation:

i. Eric Wuebbles- Mr. Wuebbles is resigning his position as Middle School Bowling Coach.

ii. Brian Berberich- Mr. Berberich is resigning his position as Middle School Baseball Coach.

iii. Angie Timmermann- Mrs. Timmermann is resigning her position as Middle School Softball Coach

iv. Jennifer Thompson- Mrs. Thompson is resigning her position as Middle School 7th Grade Girls’ Basketball Coach.

v. Nick Hollenkamp- Mr. Hollenkamp is resigning his position as Middle School 8th Grade Girls’ Basketball Coach.

vi. Morgan Strout- Ms. Strout is resigning her position as paraprofessional in the district.

vii. Eric Wessel- Mr. Wessel is resigning his position as an assistant High School Girls’ Soccer Coach.

viii. Sophie Timmermann- Mrs. Timmermann is resigning her position as Middle School 7th Grade Volleyball Coach

c. Volunteer:

i. Eric Wessel- We are recommending Mr. Wessel as a Volunteer High School Soccer Coach.

ii. Patrick Gray- We are recommending Mr. Gray as a volunteer Football Coach.

d. Days Without Pay:

i. Joanie Raz- Mrs. Ranz is requesting 2 days without pay.

e. Position Change:

i. Mikaela Kues- We are recommending Ms. Kues to move from the freshman volleyball coach to the varsity volleyball coach.

Motion by _Tina Litteken_ seconded by _Zach Peters_ to approve the consent agenda as presented.

G. Closed Session for the purposes of discussing student discipline, personnel, and collective bargaining

Motion by _Zach Peters_ seconded by _Dustin Biggs_ to move into closed session for the purposes of discussing student discipline, personnel, and collective bargaining at 7:05 PM.

Vote: Dustin Biggs-aye, Connie Elmore-aye, Tina Litteken-aye, Zach Peters-aye, Jared Poettker-aye, Jeff Stroot-aye, Krystal Schmitt-aye. Motion passes 7-0
